ASPIRE GLOBAL LIMITED (company number 16966826, registered in England & Wales), trading as Aspire Translation Services, is the data controller for personal data collected through this website and in the course of providing translation and interpreting services.

2. What personal data we collect

  • Identity and contact data you submit through our enquiry form (name, email address).
  • Enquiry content, including the service required and any details you choose to share.
  • Source documents and their contents, which may include special category data (for example medical records) or criminal offence data (for example legal or immigration papers) when you instruct us to translate them.
  • Technical data such as IP address and browser information, processed by our hosting provider for security and to deliver the site.

3. Lawful bases for processing

  • Contract — to provide quotes, translation, and interpreting services you request.
  • Legitimate interests — to respond to enquiries, keep records, secure our site, and improve our services.
  • Consent — for optional analytics cookies and any marketing communications. You may withdraw consent at any time.
  • Legal obligation — to meet tax, accounting, and regulatory duties.

Where we handle special category or criminal offence data contained in documents, we do so on the basis of your explicit consent and/or because processing is necessary for the establishment, exercise, or defence of legal claims.

4. How we use your data

We use personal data to reply to enquiries, prepare quotations, deliver translation and interpreting work, manage invoicing, and maintain the security and integrity of our systems. We do not sell personal data, and we do not use it for automated decision making or profiling.

5. Who we share data with

We share data only where necessary: with vetted linguists and interpreters assigned to your project (all bound by written confidentiality and data protection obligations), with our IT, hosting, and email providers acting as processors, and with professional advisers or authorities where we are legally required to disclose.

6. International transfers

Where a linguist or service provider is located outside the UK, we ensure an appropriate safeguard is in place — an adequacy decision, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

7. Retention

Enquiries that do not result in work are deleted within 12 months. Project files and source documents are retained only as long as needed to deliver and support the work, and are then securely deleted. Financial records are retained for six years to meet UK statutory requirements. You may ask us to delete your documents sooner.

8. Security

We apply appropriate technical and organisational measures, including encrypted transmission (HTTPS), access controls on a need-to-know basis, confidentiality agreements with all linguists, and secure deletion of source material when no longer required.

9. Your rights

Under the UK GDPR you have the right to:

  • Access a copy of your personal data
  • Have inaccurate data corrected
  • Request erasure of your data
  • Restrict or object to processing
  • Data portability
  • Withdraw consent at any time
